Stay Connected: Your Weekly Client Check-In Podcast for Better Retention

4/12/2023
WHY?This shouldn’t be a high level of coaching, you’re just creating a way to show you’re checking in consistently and creating a layer of accountability. This isn’t to do nutrition coaching through or any other type of coaching, it’s mainly just a feedback loop for you to get info. Is there something people are constantly asking that you can create a program forAre no one getting results, should you create an in-house nutrition program?HOW?CREATE THE TOOLSCreate a weekly form for them to check in onThis can be done via google forms or our Level Up SoftwareHave questions such as:How many workouts did you attend this week?Scale 1 to 5: How did you feel your energy was this week? What is 1 to 3 things you felt you did well this week? What is 1 area you feel like you could improve? What are 3 wins you’ll have next week?Any questions you have for your coaches?I do find that if the questions are more check boxed ones and are quick, they’ll get filled out more often. But the in depth questions really help people think through things. So I make the checkbox ones required and others not.MAKE IT SYSTEMIZED AND EASILY REPEATABLENeed to have a system to send it out on the same date and time each week. Can be via text or a programIf you send it manually, make sure you set a reminder so it doesn’t get missedOur Level Up Software can automate this along with reporting who all checked in and a form for them to fill out.*Important not to overdue texting CHECK AND FOLLOW UPOne member of the team should check the forms once a week, probably 2 to 3 days after they are filled out, to give time for everyone to fill it out.For anyone who looks like they are struggling, it’s worth sending a message of encouragement or if you upsell programs, sit down with them to see if maybe they need something more like semi-private or nutrition coaching. Also, answer any questions they might have and relay anything to the team of importanceWHAT IF PEOPLE AREN’T FILLING IT OUT?This is the hardest part. Not everyone will fill it out and honestly, we’ve found that getting 30% of people to fill it out is doing really well. What we do:We try to do quarterly strategy sit down meetings with clients, and if someone signs up for it but hasn’t been filling out their check-in, we’ll mention it during the meeting. If you’re the only coach and you also do the check-ins, you could also mention them in class to the people that aren’t doing it and see why not.We don’t stress too much over it, since it’s automated, we are just putting one of many retention tools in place. Not everyone is going to use each one, that what we have a few polls in the water for retention at all times.

Boost Your Fitness Client Retention with This Simple After-Session Follow Up Strategy

3/16/2023
WHY? Accountability This takes maybe 1 minute per client but it adds a layer of accountability and a touch point that shows you are thinking about their results. Client Retention By sending encouraging messages or asking questions after a session, you show it’s more than just workouts the client is paying for. So when they are deciding to maybe leave your gym, they have tangible reasons to show it’s more than just a place they workout. Building a culture A culture of accountability and communication which is big towards people focusing on working on their results and relationships. WHAT SHOULD BE IN THE MESSAGE? Encouragement, any PR’s, anything you might have talked about or questions they asked, goals they are focusing on, anything that gives it a truly personal touch. HOW? 1 Coach vs multiple coaches If you’re the only person that coaches then this is pretty simple, pick a couple people you trained for the day and send them a text. I’d send a text after the morning sessions are done and again I’d send a set of texts after the evening session to people from those sessions. It is best to text from a non business phone as this allows you to spend time with family and focus on life outside of the gym when you need. Also creates a level of professionalism If you have multiple coaches, it's the same process, they just each text someone from the sessions they coached from the day. The difference is how you check in on them. I’d have them all text from the same phone (not their personal). That’s why in our Level Up software we have texting in there so all your team can just text through either the app or the computer so it’s all captured in the same spot. This allows you to check in to see if the coaches are doing their consistent reach outs, as well as someone else can follow really easily if the question isn’t directly something that coach needs to answer. If you don’t use Level Up, then you can use a spreadsheet that they fill in on your google scorecard every week for you weekly huddles with your staff. Group vs personal training If you are doing personal training or semi-private (5 or less) I’d most likely text them all after each training session. Saying what they did great, some improvements, and something you want them to focus on until the next session. If you train group, I would probably have the coach reach out to 3-4 after each session. Have them try to reach out to a different 3-4 each session. That component probably doesn’t need to be tracked, it’s more a mental thing for the coach, but in a software like Level Up, they could easily see the last time someone has reached out to a person. WHY TO SYSTEMIZE BUT NOT AUTOMATE? There are ways where you could automate this text after class. That whenever someone attends your CRM automatically sends them a thank you text or great job email. But that takes the personal touch away and that’s the key to this retention system. Also, you’ll need to follow up if they say any comment back so make sure your staff is aware to check-in on that the next day. Especially for first session people - the wow experience.

How To Get Your First 10 Clients

12/15/2022
HOW TO GET YOUR 1st 10 FITNESS CLIENTS NOTES FRIENDS & FAMILY I would always start with anyone you know in your inner circle. Use them in 3 ways. 1) See if they themselves would want to be a client 2) Use them for referrals and convince them to bring anyone they know for a workout Offer these people either few free training sessions after they try it out 3) Have them post on their social about their friend starting an awesome new gym and the great deal you’re offering. Maybe having a specific day or couple days for them to recommend for the friends to come try it out. LOCAL TARGET FACEBOOK ADS Facebook ads are a relatively cheap way to get leads. Now these leads aren’t the most quality, they are normally pretty cold, but the nice part is you can get the targeting down to a very close area to where you train people. If you don’t want to spend a lot of money, it’s worth narrowing your target of distance and picking some specific demographics that way you don’t spend money on people who are going to take too long to convert. This is the beginning strategy, long term you’ll want to have a larger budget and attack more area but right now, just to get 10 people under your training this is a good starting point. GOOGLE LOCAL LEAD SERVICE ADS This is a new service Google added in 2022. It is really good if you are a personal trainer because it’s set up for that type of marketing avenue. But it can work great for gyms with semi-private but also group. All you have to do is just have a sales pitch that if someone reaches out why your style of training fits an individual looking for personal training. The great part about LSA is you only pay when someone actually contacts you. So you are technically paying per lead. This can be nice especially when starting out because you have at least a chance to communicate directly with someone that searched for you. IDEAL CLIENT Starting with who is your ideal client, what is their problem with their inclusive and exclusive qualifiers, and find where they are at. - Your customer core desire GODFATHER OFFER Create your offer and make it a no-brainer - just get sales and worry about scaling later LEAD MAGNET Create your giveaway (diy) or incentive for people to engage with you to start a relationship and gathering contacts FACEBOOK GROUPS Respond to people in Local facebook groups and then periodically send out your offer Engage in general on social as much as possible to gain that trust factor Find where your ideal client is Sharing Content and direct message people that engage Create a content suffocation strategy Giveaways and message those that do not win (to local facebook groups and personal pages to friends) JOINT VENTURE OPPORTUNITIES Team w/ local businesses or events
